The Back-Office department is part of the Finance & Administration division. This department is responsible for reimbursing expenses to customers and preparing invoices for B2B partners, respecting the specific invoicing conditions and terms as defined in the specifications.
With the support of your Team Leader:
- Handle incoming files via email and telephone that are sent to the department agendas.
- Thoroughly investigate the customer's request for reimbursement of costs incurred by medical or technical assistance, both within and outside Belgium.
- Check whether the services received are covered by the contract concluded by the customer and whether they actually entitle you to a refund.
- Validate the supporting documents provided by the customer.
- Calculate the amount of reimbursement that the customer is entitled to according to the terms and conditions of the contract he has concluded.
- Maintain contact with customers and answer their questions/needs via email, letter and telephone.
- Inform the customer of a possible refusal or the amount of his refund.
- Depending on the situation, you also prepare the re-invoicing of these services to B2B customers, respecting the specific invoicing conditions and terms as defined in the customer's specifications.
- Investigate and resolve rebilling denials or invoice disputes.
The colleague we are looking for:
- Has a bachelor's degree (ideally in a field such as insurance, international trade, accounting).
- Possesses good analytical skills that allow him/her to work in depth by detecting the nuances and details of each situation and file (respecting the methodology), to gather the elements necessary for a decision.
- Is motivated to provide a quality service to our customers, while respecting response times.
- Enjoys working in a team and does not hesitate to help colleagues.
- Has very good knowledge of French and Dutch, both oral and written (English is a plus).
- Preferably has a first work experience in a similar position (claims manager: fire, water damage, physical damage, travel).
- Is comfortable with the following communication channels: email and telephone to communicate and exchange information.
- Masters the necessary computer skills.
